Venue hire services

Our venue hire service is designed to maximise value and deliver seamless events. Our rates include staffing,venue set up, event signage, furniture and equipment. Ask the venue hire staff about the range of discounted rates available.

Inclusions

Staffing

A venue assistant is included in all venue hire rates. They provide a general orientation to the venue and its equipment and provide your event with set-up, pack-down and basic technical support. They also direct guests and monitor access to your hired room.

Furniture and equipment

All standard equipment is included in the venue hire rate. This includes projectors and laptops; flipcharts, whiteboards and markers; tables and chairs; and lecterns and microphones. If you require additional audiovisual equipment beyond the stock stored on site, quotes can be sourced by the venue hire team on your behalf. Please ask the venue hire team if your required equipment is available.

Security

The Library has onsite security 24 hours a day, seven days a week.

Audio teleconferencing

Audio teleconferencing facilities are available in all Conference Centre rooms. Basic audio teleconferencing is included in the venue hire rate through a Cisco teleconferencing unit, and provides a telephone number into which remote attendees can dial.

Extras

We offer a range of other services, at an additional charge, that will help you to stage the perfect event.

Digital media support services

We recommend that you engage a State Library digital media technician for the duration of your event if multiple forms of digital media are being used. Digital media technicians are trained to provide a higher level of technical support than venue assistants and provide peace of mind for your event. Please contact the venue hire team to arrange a quote.

Audio and video recording

The venue hire team can arrange an audio/video recording of your event in the Conference Centre. A digital media technician will be on hand for the event and to sound check. They will also edit and provide the file within three weeks of your event. Please contact the venue hire team to arrange a quote.

Videoconferencing

Videoconferencing is possible in the Village Roadshow Theatrette, via ISDN or the internet. Videoconferencing equipment may be brought in, or hired at a charge.

Catering

Delicious catering is provided by our contracted service partner.

Unique event experiences

Personalised tours of the Library's wonderful heritage spaces such as Queen's Hall and the La Trobe Reading Room and galleries such as the Cowen Gallery are available on request (subject to staff availability). These spaces, plus the Red Rotunda, are also available for unique weddings and wedding photography. And you can match conference spaces with exclusive venues to make the most of your Library experience. For major and public events you may want to consider a community promotion on the Library's forecourt and lawn.
